SOP: Share Workflows, Chat Agents, Credentials, and Related Tools with Team Members
Objective
This SOP explains how to share workflows, chat agents, credentials, and related tools with team members from within the account. It ensures the correct items are shared with the right permissions so teammates can use or edit them as needed.
Key Steps
1. Open the Sharing Area 0:16
Log in to the account you want to share from.
Navigate to the item you want to share.
Select the Sharing tab to view sharing options for team access.
2. Review Team Members and Available Share Types 0:32
In the Sharing tab, review the available categories you can share.
Check the People section to confirm who is on your team.
Verify the intended recipient is listed before sharing anything.
3. Share a Workflow with Editor Access 1:01
Open the Workflows tab.
Find the workflow you want to share.
Set the team member’s permission to Editor so they can work on it.
Confirm the workflow is shared with the correct person.
4. Share or Unshare Data Tables 1:01
In the sharing options, locate the relevant Data Tables.
Tick the checkbox to share the data table with the team member.
Untick the checkbox if you do not want to share it.
Confirm the correct data table is being shared, such as a financial snapshots table.
5. Import a Chat Agent to a Team Member 1:25
Open the Chat Agents section.
Choose the agent you want to share.
Use the Import option to send it to the team member’s account.
If the import button is red, the agent is not yet in their account and needs to be imported.
6. Verify Required Credentials for the Agent 1:39
After selecting the agent, review the list of required credentials.
Confirm the recipient already has the needed credentials set up.
If a required credential is missing, the agent may not work correctly until it is added on their end.
Proceed only when the required access is available or clearly understood.
7. Share Credentials Directly 2:32
Go to the Credentials section.
Review all credentials in one place.
Toggle on the credential you want to share with the team member.
Confirm the recipient can use the credential in their own account.
8. Manage Ownership and Team Access 3:05
Check the Owner tag to identify who owns the credential or item.
Review the list of members who have access.
Add or remove members directly as needed.
Make sure access matches the intended sharing arrangement.
9. Understand Agent Tool Behavior 3:17
Note that Agent Tools do not usually need separate sharing.
When a chat agent is installed, its related agent tools are installed automatically.
Verify the agent installation completed successfully so the tools are available.
Cautionary Notes
Do not share items without confirming the recipient is on the team.
Check required credentials before importing a chat agent to avoid setup issues.
Be careful when toggling credentials on or off so you do not grant unnecessary access.
Review ownership tags to avoid confusion about who controls the item.
If a required credential is missing on the recipient’s side, the agent may not function as expected until it is added.
Tips for Efficiency
Use the People section first to confirm the correct recipient before sharing.
Share workflows with Editor access only when collaboration is needed; otherwise limit permissions.
For data tables and credentials, only enable what is necessary to reduce clutter and access risk.
When importing chat agents, review the credential list immediately so missing dependencies are caught early.
Remember that agent tools install automatically with chat agents, which saves time and reduces manual setup.
